Reminder: Sync properties are handy for keeping data updated across objects eg a Contact property is kept updated on associated Tickets
(Total number of sync properties available in your portal depends on your subscription, and is combined with calculated properties. 40 in Pro, 200 in Enterprise.)
(Aside: there's a whole other discussion around whether you should let a deal go backwards in a pipeline - there's a pipeline Rules setting to disallow that - but that's a conversation for another time.)

For example:
- Time in current stage: is only the current time it has been in the stage (excludes previous times)
- Cumulative Time in [Deal Stage] only updates when a deal exits the stage (doesn't include the current time)
- Latest time in [Deal stage] the most recent time it was in the stage

Especially when a deal goes back and forth into a stage.

But it is a useful reminder to make sure you are using the basics well.
We showed this to a client on a call recently (they didn't know about it) and it is going to help them improve their use of HubSpot.
This is a total game changer!
HubSpot now has a Priority property on Deals.
You can use this to filter and sort in Views, to keep you focussed on the most important deals in your pipeline.
This is insane! π₯
OK, so obviously this isn't new (it's been there right from the start).
Quick reminder that you can easily set the Sort Order on Deal Views.
Typical properties to sort on include:
- Close Date
- Last Activity Date
- Priority
Bonus: Sort order gets saved as part of the View as well.
The screenshot below should be enough to show how itβs done, but if youβd like a fuller walkthrough, let me know.
Quick tip: edit the first row field to set Sort and Limit options.

This request came from a client recently - they wanted to see a list of their highest revenue clients over the years in HubSpot.
Using Custom Reports and choosing the Pivot table option, this is reasonably straightforward.

Properties getting Archived is an interesting one to check.

For example: I like to check what kinds of things are getting Deleted or Archived in portals - it can sometimes highlight processes that need improving (eg users are having trouble creating things correctly).
Reminder: you can set personalisation for Sender name and email in HubSpot Marketing emails.
eg set them to be based on the Owner of the Contact
Reminder: the Buyer Intent tool in HubSpot continues to improve.
You can auto-add companies (based on a View criteria) in and enrol in Workflows (eg for internal notifications).
Reminder: you can set the Default page that HubSpot navigates to after logging in.
For me, this has always been set to Dashboards.
But Iβm close to changing it to be Marketing Home.
Reminder: you can create Tags that show against Tickets in HubSpot.
Handy for highlighting VIP clients, or specific conditions to be aware of when providing support.
Reminder: you can view the size of a HubSpot List over time from the Performance tab
And it's not just for lists that are increasing over time. eg this one show an engagement based list (site visit in last 10 days) - you can see the effect of campaigns (eg email) on the visits by contacts over time
Reminder: you can create a Report straight from a View in #HubSpot.
From the All Views listing, simply hover over a View
From the More actions menu, select Create Report

I originally prepared this slide as part of an All Staff presentation.
But I've set a little reminder for myself. I find it useful to come back to it every few weeks.
It doesn't take long for daily pressures to crowd us out mentally.
Reminder: you can easily Split lists in HubSpot.
Ideal for when you need to be careful sending emails to a large list.
You can create up to 10 smaller lists (I usually choose to Distribute equally).
When preparing for prospect discovery calls, we often get the prospect's photo from LinkedIn and add as a Note, along with noteworthy details, so that whoever is running the call can quickly review just before the call.
(Also, reminder that you can associate a Note to other objects as well)

Reminder: you can filter HubSpot Files by Type (eg just list Videos or Documents).
Often documents are named similarly to images, and you're just trying to find the PDF - so filtering by Documents is handy.
